Terms of Service

Version 2026-10-05 · Last updated 25 October 2026

This is the version that applies from 5 October 2026.

In short

  • Veyra is booking software with an AI assistant, for businesses — not for personal use.
  • Building and setting up are free. Once we've switched on online billing, you add a card to switch on bookings — £0 today. Your free period ends at your 10th online booking or 30 days after you go live, whichever comes first. We'll email you then, and your first payment is 7 days later. After that, plans are paid monthly in advance through Stripe. Cancel online any time: before your first payment you pay nothing, and after it your plan stops at the end of the month you've paid for.
  • Only use Veyra for a lawful business: no adult or sexual services, no pretending to be another business, and no spam.
  • Card payments from your clients go into your own Stripe account. You're the seller — Veyra never holds your money.
  • The AI can get things wrong. Check its replies (approve mode helps) — you stay responsible for your treatments, your forms and your clients.
  • Your data is yours. Our Data Processing Agreementexplains how we look after your clients' details.
  • The law of England and Wales applies. Our liability is capped at what you paid us in the 12 months before the event a claim arises from (or £100 if that's more).

1. Who we are and who these terms are for

These terms are an agreement between you, the business using Veyra, and Samuel Walton, a sole trader in England trading as Veyra (“Veyra”, “we”, “us”). You can reach us at info@try-veyra.com. Our postal address is available on request from info@try-veyra.com.

Veyra is for businesses only. By creating an account or using Veyra, you confirm that you're using it for your business — not as a consumer — and that you're allowed to agree to these terms for the business. “You” means that business.

Our Data Processing Agreementis part of these terms. It covers how we handle your clients' and team's personal data for you. Our Privacy Policy explains how we handle personal data for our own purposes, like running your account.

2. What Veyra does

Veyra is online booking software for beauty and wellness businesses, with an AI assistant built in. Depending on your plan and settings, it includes an online booking page, AI replies to your clients' messages, a calendar, client records, consultation and patch-test forms, deposits, reminders, campaigns and reports. Your account shows what your plan includes.

We keep improving Veyra, so features will change over time. If we plan to remove something important that you rely on, we'll tell you in advance where we reasonably can.

3. Your account

  • Give us accurate details and keep them up to date.
  • Keep your logins safe. Everyone in your team should have their own login, and you're responsible for what happens under your account.
  • If you think someone has got into your account, tell us straight away at info@try-veyra.com.
  • Owner logins control your settings, team and billing, so only give owner access to people you trust with them.

4. Free to set up, and your free period

Building your booking page, keeping it and setting Veyra up are free, with everything in our top plan, Salon Pro, and no time limit. Until you switch on bookings, clients can't book you online or through your AI, but you and your team can book people in yourselves. (Before we switch on online billing, it's different — see below.)

To switch on bookings (to “go live”), you choose a plan and add a card, in Get live or Settings → Plan & billing. Nothing is taken when you add it: it's £0 that day. We email you to confirm, with your plan's price, the latest date of your first payment and how to cancel.

Your free period starts when you go live. It ends at your 10th online booking or 30 days after you go live, whichever comes first. Online bookings are ones your clients make themselves — on your booking page, in their client account, through your AI or by taking a waitlist offer — and haven't cancelled. Bookings you make yourself on your booking page count too. Bookings your team makes in Veyra, and bookings brought across from another system, don't count. You get one free period per business.

When your free period ends, we email you. Your first payment is 7 days after that email — so 37 days after you go live at the latest. The email gives the date, the amount and how many online bookings you've had. We never take your first payment without that email: if we can't send it in time, your first payment moves later, to 7 days after we do. After that you pay monthly (see section 5).

You can cancel online at any time in Manage billing in Settings. If you cancel before your first payment, you pay nothing, and your plan ends on the date your first payment would have been.

Until we switch on online billing, there's nothing to pay and you don't need a card: clients can book you as soon as you've set up. If you're taking bookings when we switch it on, you can carry on without a card until the end of the 30-day trial you signed up with, or for 14 days from then if that's later, and we'll email you twice before that. If you haven't added a card by then, clients can't book you online until you do. Bookings already made aren't affected.

If we've agreed a separate deal with you in writing, that deal applies instead.

We may give you a free plan — for example if you join with one of our free invite codes, or we set your account up for you. A free plan includes everything in that plan, including its fair-use AI allowance. We'll give you at least 30 days' notice before a free plan ends.

5. Plans, prices and paying

Our plans are Solo, Salon and Salon Pro. What each includes — features, team size and fair-use AI allowance — and what it costs are shown on our website and in Settings → Plan & billing.

  • Plans are billed monthly in advance through Stripe, from your first payment, 7 days after your free period ends (see section 4). After every payment we email you a receipt, with how to cancel.
  • We're not registered for VAT, so no VAT is added to our prices. If that changes, we'll tell you before we add it.
  • You can switch plans, update your card and see invoices in Manage billing in Settings, which opens Stripe's secure billing page. A smaller plan only fits if your team does — you may need to switch off some team members or logins first.
  • Founding prices: if you're one of the first 100 businesses to subscribe, and you subscribe before 23:59 on 31 January 2027 (UK time), you keep the founding prices shown in Settings → Plan & billing for as long as your subscription continues, including when you switch between Solo, Salon and Salon Pro in Manage billing. If your subscription ends and you subscribe again later, the prices at that time apply.
  • Apart from founding prices, if we change our prices, we'll give you at least 30 days' notice by email. The new price applies from your first monthly payment after that, and you can cancel before then if you'd rather not carry on.

If a payment doesn't go through, Stripe will try again and we'll keep Veyra running while it does — for up to 14 days after the end of the unpaid month. Please update your card in Manage billing. If the payment still hasn't been made by then, your account lapses until it is.

6. Fair-use AI allowance

Each plan includes a monthly fair-use allowance of AI use, shown as a rough number of AI messages in Settings → Plan & billing. It covers everything the AI does for you, including replies to your clients.

If you use up the month's allowance, the AI stops replying to clients and hands their messages to your team instead, and AI features you start yourself, like campaigns, pause until the allowance tops up on the 1st of the month. You can upgrade for a bigger allowance. To protect the service, we also set daily limits on AI use.

7. Texts, WhatsApp and Instagram

  • Text messages (SMS) are a paid add-on that we switch on for you on request. Without it, Veyra doesn't send texts — they wait in your team's Messages to send instead.
  • You can connect your own WhatsApp Business account. Instagram messages only work where we've set them up with you. These messages go through Meta, and Meta's own terms and policies apply, including its rules on message templates and marketing. Meta can refuse or limit messages, which is outside our control.
  • Only send marketing to clients who've agreed to receive it. Veyra records each client's marketing choice to help you.

8. Cancelling, and what happens to your account

You can cancel your plan at any time in Manage billing in Settings. Cancelling takes effect at the end of the month you've already paid for, and you can keep using Veyra until then — or, if you cancel before your first payment, until the date it would have been, with nothing to pay. We don't give refunds for part months.

When a plan ends without a new one, your account lapses. Your clients, bookings and history stay in your account and your team can still log in, but Veyra stops working for you: your booking page stops taking online bookings (clients are asked to contact you directly) and the AI stops. Choose a plan at any time to carry on where you left off.

To close your account for good, email info@try-veyra.comfrom the owner's email address. Within 30 days of your request, we'll delete your business's data from Veyra — or send you a copy first, if you ask for one. Copies in our providers' own records, like text message and email logs, are deleted under their own retention periods. We keep what the law requires us to, like our invoices and payment records.

If an account stays lapsed for more than 12 months, we may delete its data. We'll email the owner at least 30 days before we do.

9. If we suspend or end your account

We can suspend or close your account if you seriously or repeatedly break these terms — for example by not paying, by using Veyra to send spam or for anything unlawful, or by putting the service or other businesses at risk. Where it's reasonable, we'll warn you first and give you a chance to put things right.

We can also stop providing Veyra altogether by giving you at least 30 days' notice. If we do, we'll refund anything you've paid for the time after it stops, and give you the chance to take a copy of your data.

10. Payments from your clients

When you connect your Stripe account in Settings, deposits and card payments from your clients are taken by Stripe straight into your own Stripe account. You're the seller, your own agreement with Stripe applies, and Stripe charges its fees to you. Veyra never holds your money: it only asks Stripe to take or refund a payment on your account when you, your settings or your client call for it — like a client paying a deposit, you giving a refund, or a no-show fee (below). Refunds, chargebacks and disputes are between you, your client and Stripe.

When a client pays a deposit by card, Stripe saves their card on your Stripe account. If you then mark one of their bookings as a no-show and it wasn't covered by a paid deposit or a package, Veyra charges that card a no-show fee straight away — the same amount your deposit settings would ask for that booking — and messages the client to say so. (A paid deposit is kept instead, and a package session is used up.) There's no extra check before the charge, so make sure your booking policy tells clients about no-show fees, and only mark real no-shows.

Veyra doesn't take a fee from your clients' card payments. If that ever changes, we'll give you at least 30 days' notice and show the fee in Settings before it applies.

If you take payments through your own payment link (like SumUp or Square) or by bank transfer, that's between you and your client. Veyra only shows clients the details you give it and can't see whether those payments arrived, so please check them yourself.

Your booking policy, cancellation and deposit rules, gift vouchers and packages are your own terms with your clients. Veyra helps you show and apply them, but you're responsible for them being fair and lawful.

11. The AI, and what stays your responsibility

Veyra's AI assistant answers your clients, drafts messages and summarises information using what you've given it — your treatments, prices, hours, policies and client records. It's helpful, but it can make mistakes: it might misunderstand a message, give out-of-date information, or suggest the wrong time or treatment.

  • Check what the AI does for you. Approve mode lets you read and approve replies before they're sent — new accounts start with it switched on.
  • Keep your treatments, prices, hours and policies up to date in Veyra, because the AI relies on them.
  • The AI doesn't give medical advice — it's told to hand medical and allergy questions to your team — and it isn't a substitute for your professional judgement.
  • You stay responsible for your treatments and treatment decisions, including consultations, patch tests and deciding whether a treatment is suitable for a client.
  • You're responsible for the wording of your forms and policies. Any templates we provide are a starting point — check them with your insurer or trade body.
  • You're responsible for your insurance, qualifications and licences, and for your relationship with your clients.

12. Acceptable use

Veyra is for appointment businesses offering lawful services. Please don't:

  • use Veyra for adult or sexual services, or for anything illegal;
  • pretend to be another business or person — for example by using their name, logo or photos for your booking page;
  • send spam, or message people who haven't agreed to hear from you — including marketing to anyone who hasn't agreed to receive it;
  • upload anything you don't have the right to use, or that's offensive or harmful;
  • try to get into another business's data, test or get round our security, or overload the service;
  • copy, resell or reverse-engineer Veyra, or use it to build a competing product;
  • put full card numbers, passwords or other details Veyra doesn't need into notes or messages.

If a booking page breaks these rules, we can suspend it while we look into it — so clients can't see it, book or chat through it, and nothing is emailed to them. As section 9 says, where it's reasonable we'll warn you first; if a page puts people at risk, for example by pretending to be another business, we can suspend it straight away. Either way, we'll tell you why. Section 9 covers what else we can do.

Anyone can report a booking page they think breaks these rules by emailing info@try-veyra.com.

13. Your data

The information you and your clients put into Veyra belongs to you. You give us permission to use it only to provide, support and improve Veyra for you, as our Data Processing Agreementsets out. We don't sell it, and we don't use your clients' details to market anything to them.

We may use anonymous, combined information about how Veyra is used — for example how many bookings or AI messages it handles — to run and improve the service. It never identifies you or your clients.

You can download your client email list from Campaigns at any time, and we'll send you a fuller copy of your data if you ask.

If you share ideas for Veyra with us, we may use them without owing you anything for them.

14. Our software

Veyra — its software, design and brand — belongs to us. While your account is open, you have a non-exclusive, non-transferable right to use it for your business under these terms.

15. Keeping Veyra running

We work hard to keep Veyra running smoothly and to fix problems quickly, but we can't promise it will always be available or free of errors. It relies on other services — like our hosting, AI, email and payment providers, and Meta — and sometimes we need to carry out maintenance.

Support is by email at info@try-veyra.com, and we'll reply as soon as we reasonably can. Because no online service is perfect, keep your own note of anything you couldn't do without, like the next day's appointments.

16. Other companies' services

Some features work with services run by other companies, such as Stripe, Meta and Google (for review links and maps). Their own terms apply to how you use them, and we're not responsible for those services.

17. Liability

Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else the law doesn't allow to be limited.

Apart from that:

  • we're not liable for loss of profits, revenue, business, goodwill or anticipated savings, or for any indirect or consequential loss;
  • we're not liable for loss caused by events outside our reasonable control, by AI replies you approved or that relied on wrong or out-of-date details in your account, by your clients, or by you breaking these terms;
  • our total liability to you for everything arising under or in connection with these terms and the Data Processing Agreement — whether in contract, tort (including negligence) or otherwise — is limited to the greater of £100 and the fees you paid us in the 12 months before the event the claim arises from.

You'll cover our reasonable losses and costs if someone else — for example one of your clients — makes a claim against us because of how you've used Veyra, what you've put into it, or you breaking these terms or data protection law. We'll tell you promptly about any such claim and involve you in how it's handled.

18. Changes to these terms

We may update these terms, for example when we add features or the law changes. If a change matters to you, we'll tell you at least 30 days before it takes effect — by email, in Veyra, and on this page, which shows the date the new version applies from — and ask an owner to agree to the new version in Veyra. If you don't agree, you can cancel before the change takes effect. Small changes that don't affect your rights, like fixing typos, can apply straight away.

Each version has a version number and date at the top of this page. Email info@try-veyra.com for a copy of an earlier version.

19. The legal bits

  • These terms, the Data Processing Agreement and anything they refer to are the whole agreement between us about Veyra.
  • We may transfer this agreement to a company we set up to run Veyra, or to whoever takes Veyra over. We'll tell you if we do, and it won't reduce your rights. You can't transfer it without our written agreement.
  • We'll contact you at the owner's email address in Veyra. You can contact us at info@try-veyra.com.
  • If a court decides part of these terms can't be enforced, the rest still applies.
  • If we don't enforce something straight away, we can still enforce it later.
  • Nobody else has rights under these terms under the Contracts (Rights of Third Parties) Act 1999.
  • We're not responsible for delays or failures caused by events outside our reasonable control.
  • These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
